
Form Guide for Your Digital Business Card
This guide will help you complete your personal WEBiCARD form fully and accurately. After choosing your plan and completing your payment, you’ll receive access to the form.
There, you can enter all the information you’d like to include on your digital business card and upload the required content directly — such as your banner image, documents, images, audio or video content, as well as additional links and details.
Once you submit the form, our team will review and approve your information and content promptly so that your digital business card can be created.
How to create your digital business card

Creating your card is simple. This step-by-step guide will help you provide the information, images, files, and links needed to prepare your digital business card. Take your time and complete the sections for the features and content you would like to include on your card.
Which steps should you follow?

If you are creating a card for yourself as a private individual, business owner, freelancer, or self-employed professional, follow steps 1–14.

If you are creating several business cards for a team or company under one brand, follow steps 2–16.
Please note: This guide is based on the WEBiCARDS Elite plan and therefore includes all available form fields, features, and media options. If you have selected a different plan, some of the sections or options shown in this guide may not be available to you.
Add your contact details

Tell us how you would like to appear on your digital business card. Add the personal, business, and contact details you want visitors to see, and simply leave anything optional blank if it does not apply to you.
Please enter at least one of the following: your first name, last name, or business name. Use the international format for phone numbers, including the country code.
You can also add your website and a booking link, such as a Calendly or Google Calendar page, where visitors can schedule an appointment with you.

Choose your card languages

First, select the main language for your digital business card. This is the language visitors will see when they open your card.
Depending on your plan, you can also add one or more additional languages. Visitors will then be able to switch easily between the available language versions.

3. Choose your card design
​
Select the design style for your digital business card. Classic includes a banner image at the top, providing space for branded visuals and your logo. Minimal uses a streamlined layout without a banner, keeping the focus on your key information.
Choose the style that best matches your personal or business identity, then select a color palette for your card.

4. Customize your card colors

Turn on custom colors if you would like to personalize individual parts of your card. You can choose colors for the card background, bottom action bar, contact and social icons, and—for the Classic design—the banner background when no banner image is uploaded.
Any custom color selected here will replace the corresponding color from the palette chosen in the Design & Color Palette section. All other parts of the card will continue to use the selected palette.
You can also enter exact HEX codes or describe your preferred brand colors in the notes box. Please clearly state which color should be used for each part of the card. For example:
Use #2E7D32 for the card background.
For the card background, choose a light color to ensure good readability, as the text on the card is displayed in dark colors.
If you would like to use the selected palette without any changes, simply leave custom colors turned off.

5. Upload your banner and profile image

For the Classic design, upload a banner image that will appear behind your profile image. If you selected Minimal, you can skip the banner. Use a clear, high-quality image in WebP, JPG, or PNG format. Recommended size: 1200 × 600 px.
For your profile image, upload a professional photo or your logo. A square image with the main subject centered works best, as it may be displayed in a circular shape. Recommended size: 600 × 600 px.
Keep each file below 1 MB for faster loading.

6. Choose your sharing preview image

By default, your profile image will appear when your card link is shared on social media or messaging apps.
Turn on Use a different image for sharing if you want another image, such as your logo or a branded graphic, to appear in the link preview instead. This will not change the profile image displayed on your card.
Choose a clear image that represents you or your business well and keep the file under 1 MB.

7. Add optional content to your profile

Choose which additional content you would like to display in the Profile section of your digital business card. Depending on your plan, you can add documents, an image gallery, a short audio file such as a personal introduction, or a video.
Turn on the options you want to use. The corresponding section will open, allowing you to upload your files or add a link.

8. Add documents to your profile
​
Depending on your plan, you can add one or two documents to the Profile section of your card for visitors to view or download.
Upload your file, then select a suitable document type from the list, such as CV / Resume, Company Profile, Catalogue, Brochure, or Menu. You can also enter your own wording in the Document label box if you prefer a custom title.
Only PDF files are supported. The maximum file size is 10 MB per document.

9. Add images to your gallery

Upload images you would like to display in the Profile section of your card. Depending on your plan, you can add up to the allowed number of gallery images.
Choose clear, high-quality images that represent your work, products, services, or business. The maximum file size is 2 MB per image.

10. Add an audio file to your profile
​
Upload a short audio file to the Profile section of your card. You can use it to introduce yourself, present your company, or share a brief message with visitors.
For the best result, use a clear recording with minimal background noise. The maximum file size is 5 MB.

11. Add a video to your profile
​
Add a video to the Profile section of your card by uploading a video file or entering a video link, such as a YouTube or Vimeo URL.
You can use the video to introduce yourself, present your company, showcase your work, or share important information with visitors. Uploaded video files can be up to 25 MB. When you use a video link, this file-size limit does not apply because the video is hosted on the external platform.

12. Add your introduction and translations

Write a short introduction about yourself, your company, or your work. Keep it clear and informative, with a maximum of 1,000 characters.
If you selected additional languages, enter all your translations in the Translation notes box. You may organize them using language headings, separators, or blank lines. There is no required format, but please clearly indicate the language and the content each translation belongs to—for example: German – Introduction or French – Job title.
Each translated introduction can contain up to 1,300 characters. Any characters beyond this limit will be removed automatically. The translation box accepts a maximum of 10,000 characters in total.

13. Add your social media links
​
Select a platform and enter the link to your profile, page, or account. For WhatsApp, add your WhatsApp link rather than only your phone number.
Use the optional Label on the card to replace the platform’s standard name with your own wording, such as My WhatsApp Business. If your card includes additional languages, this custom label will remain exactly as entered and will appear in the main language on every language version of the card. It will not be translated. Leave it blank to use the default platform name.
Select Add social to include more platforms, or Remove to delete an entry. The maximum number of links depends on your plan.

14. Search visibility and submission

Turn on Show in search if you would like search engines to be allowed to index your public card. This makes your card eligible to appear in search results, but does not guarantee that it will be listed or ranked. If you leave this option turned off, your card will still be accessible through its direct link.
Before submitting, review all your information carefully. Once you submit the form, you will not be able to make further changes until our team has reviewed your request.

15. Add your company information
​
Start by entering the main information about your company, including its name, business address, and website. Please use current and accurate details so we can prepare your company profile correctly.
You will be able to add the personal and contact information for each team member in the next step.

16. Add your team members
​
Enter the individual details for each team member, including their name, job title, contact information, booking link, LinkedIn profile, and profile image. These details will appear only on that member’s card.
If you added a company LinkedIn link in the shared social media section, a member’s personal LinkedIn link will be shown instead on that member’s card. If no personal LinkedIn link is entered, the company LinkedIn link will remain visible.
You can enter a dedicated phone or mobile number for each member. To display the same company number on all member cards, simply enter that number in the corresponding phone or mobile section for each member.
You can also upload an individual profile photo for each member. To display the same company logo on all member cards, upload the logo as the profile image for each member.
Complete one member at a time, select Save, and then choose Add next member. After submitting the request form, you can add new members, update existing member details, or remove members through the update form.
Enter phone numbers in international format, including the country code. Profile images can be up to 1 MB.
